  • Hosts can cancel requests where applicable.
  • When a request is accepted, it moves to My Meeting and appears in the host's meeting list.
  • Request status is updated according to the action performed.

2.3 My Availability

Added the My Availability section to manage host availability for meetings.

Hosts can pause their availability or configure meeting slots.

Available options:

  • Pause availability.
  • Create meeting slots.
  • Edit existing slots.
  • Publish slots.
  • Unpublish slots.

Pause Availability

Hosts can pause their availability when they do not want to receive new meeting bookings.

When a host is paused, the host is unavailable for new meeting scheduling through the Connect module.

Create Meeting Slots

Hosts can create availability slots by providing the required information.

Configuration steps:

  1. Open the Host Page.
  2. Select My Availability.
  3. Click Add Slots.
  4. Enter the slot title.
  5. Select the start date and end date.
  6. Configure the start time and end time.
  7. Create the slot.

Edit and Publish Slots

Each created slot provides an edit option represented by a pencil icon.

Hosts can use this option to:

  • Edit the slot title.
  • Update the start date and end date.
  • Modify the start time and end time.
  • Publish a slot.
  • Unpublish a slot.

Published and unpublished states allow hosts to manage which configured slots are available for meeting scheduling.

3. Role-Based Connect Access

Enhanced Connect navigation to support users who have multiple roles.

A user may have Guest access, Host access, Manager access, or a combination of these roles.

Connect Navigation

When a user has multiple roles and opens the configured Connect entry point, the application displays a role-selection popup with the available options:

  • Guest
  • Host
  • Manager

The available options depend on the user's assigned access.

Guest Access

Users with Guest access can:

  • View available hosts.
  • Select available meeting slots.
  • Send meeting requests.
  • View and manage their meeting requests.

Host Access

Users with Host access can:

  • View their meetings.
  • Review incoming guest requests.
  • Accept or cancel eligible requests.
  • Manage meeting availability.
  • Create and edit availability slots.
  • Publish or unpublish slots.
  • Pause their availability.

Combined Guest and Host Access

Users who have both Guest and Host access can use both sets of functionality.

For example, a Host can schedule meetings with other hosts as a Guest while managing their own meetings and availability as a Host.

4. Dedicated Manager Page

Added a dedicated Manager Page to manage hosts and provide access to the Connect module's Host and Guest functionality.

Managers have additional permissions for managing hosts within their team.

Manager Capabilities

  • Access Guest functionality.
  • Access Host functionality.
  • Open the Manager Page.
  • Add hosts using phone numbers or email addresses.
  • Assign Manager access where supported.
  • Manage hosts associated with their team.

Accessing the Manager Page

  1. Open the Connect entry point.
  2. Select Manager from the role-selection popup.
  3. Open the Manager Page.
  4. Use the host management options to manage the team.

5. Add Host Functionality

Added the ability for managers to add hosts through the Manager Page.

Configuration

  1. Open the Manager Page.
  2. Click the Manage Host icon.
  3. Select the option to add a host.
  4. Choose the required identification method:
    • Phone number
    • Email address
  5. Enter the user's phone number or email address.
  6. Complete the required host creation process.

Supported Functionality

  • Add a host using a phone number.
  • Add a host using an email address.
  • Use the supported role-assignment flow to provide Manager access where required.

Host Login Requirement

A user added as a host must log in to the VirtuApp application using the same phone number or email address associated with the host account before appearing as an available host in the Connect module.

Important: Before creating a host, the manager should verify that the intended user has logged in to the application using the phone number or email address that will be used for the host account.

Creating a host entry alone does not make the user available for guest meeting scheduling. The required login and host availability conditions must also be satisfied.

6. Manager Role and Permissions

Added Manager functionality to provide broader control over host management and team operations.

Manager Permissions

Managers can access all three Connect role experiences:

Role Capabilities
Guest Schedule meetings with available hosts and manage meeting requests.
Host Manage meetings, incoming requests, and availability slots.
Manager Manage hosts, add host accounts, and assign Manager access where supported.

Manager Workflow

  1. Open the Connect entry point.
  2. Select Manager.
  3. Open the Manager Page.
  4. Access host management.
  5. Add eligible users as hosts using their phone number or email address.
  6. Assign Manager access where required and supported.
  7. Use Guest or Host functionality through the corresponding role options.

This allows users with Manager access to perform their own meeting-related activities while also managing hosts within their team.
